Operations Assistant and South America Program Director

Join a small group of specialized travel professionals working together in a dynamic ecotourism company to provide personal and responsive customer service designing international adventures that are life-changing experiences for travelers and host country communities. Wildland Adventures, Inc. is an award-winning ecotourism and adventure travel company specializing in worldwide cultural and natural history explorations for small groups, families, and individuals since 1986.


OPERATIONS
Operations Assistant



Responsible for management of daily internal office operations and administrative support for company Director and destination Program Directors. Primary tasks include data entry and auditing, administration of electronic banking, training, oversight of other administrative staff and interns, sales and marketing assistance including desktop publishing, direct mails, and assisting with internet marketing and website management.

Primary Responsibilities

Client Trip Services
Working as a team with destination Program Directors to assist with pre-departure services including:
Pre-departure and final trip documents
Customer accounts receivable
Operator arrival reports and accounts payable
Maintain in-house client departure materials

Operations support for Costa Rica, Panama, and Nicaragua
Working closely our Central America Program Director based in Costa Rica, acting as her primary US-based support including:

  • Keeping track of blocked space reservations and deposits
  • Assembling traveler mailings
  • Tracking client booking status

Document Production, Desk Top Publishing, and Website Management
Editing and updating online and printed content.

Office Administration
Some general office administration include:

  • Training staff and overseeing interns
  • Maintain internal company operations manuals and policies
  • Prepare sales and production reports

Marketing and Sales Assistance

  • Provide primary support for phone reception, responsive sales calls and email requests
  • Assist with internet marketing presence including the Facebook page, other distribution websites, and collaborating with IT Manager and company Director for other internet marketing endeavors.

Qualifications for this position include at least 2 years experience in office administration; experience in travel business, tour operations and travel administration is a plus. Requirements include: exceptional written and verbal business communications skills including excellent spelling, grammar and English language ability; detail-oriented, highly organized and systematic; vibrant and confident telephone presence; and versatility in defining and completing a variety of tasks. 

Acceptable applicants should be highly computer proficient including knowledge and experience in use of database systems, word processing, spreadsheet calculations, and basic desktop publishing. Computer proficiency in Microsoft WORD and Excel, desktop publishing, and database management programs necessary.

Compensation: Salary commensurate with experience, major medical, travel, paid holidays and sick leave, vacations, optional 4-day work week.

South AMERICA
Adventure Travel Program Director




Join a small group of specialized travel professionals working together in a dynamic ecotourism company to provide personal and responsive customer service designing international adventures that are life-changing experiences for travelers and host country communities. Rated by National Geographic Adventure Magazine as the “#1 Best Do-It-All” adventure company in 2009. Program Directors are responsible for sales and administration of group and individual travel arrangements for specific destinations. They have a large degree of autonomy; contribute to strategic decision-making working together in a collaborative atmosphere.

SUMMARY OF PRIMARY DUTIES—Seattle, Washington

Destination Sales

Apply highly detailed destination knowledge, field experience, and sales experience to present a professional and personal customer sales relationship via phone and email.

  • Destination Marketing

Design and edit destination documents and website. Conceptualize marketing strategy for the region; develop competitive positioning and rationale for each itinerary; provide marketing content for web, Enews and special promotions; public travel presentations.

  • Client and Operator Pre-Departure Services

   Maintain client reservations database, and paper and electronic files; prepare pre-departure materials and respond to customer pre-departure trip queries; confirm in-country services with ground operators; assist with destination air services as needed.

  • Client and Supplier Accounts Management

Oversee client accounts receivable with operations department; negotiate rates and prepare operator payments

Travel Program Development

Develop new travel programs, itineraries and meaningful travel experiences collaborating with in-country suppliers and guides, including FAM trips and trade shows.

Conservation and Community Development

Oversight of local conservation and community development projects supported by trip proceeds. 

The South America Program Director works together as part of a team responsible for sales and administration of group and individual travel arrangements for designated destinations in South America primarily including Peru, Chile, Argentina, and Ecuador. Experience in other Latin American destinations a plus.

Qualifications for this position include 2-3 years experience in travel sales, tour operations and administration, or commercial adventure travel field experience in South America including knowledge of destinations, travel logistics, accommodations and related tourism services throughout the Andean region. The Wild office is located in north Seattle with a spectacular view of Mt. Rainer, Lake Washington, and the Cascade Range. Program Directors travel an average of 2-4 weeks per year on educational trips to develop and maintain detailed destination knowledge for sales and program development expertise.
